AutoPilot has two platforms: the windows and the web. There are continuous updates and news on the web platform. Comparatively to the windows platform, where a new version release happens 2-3 times a year.
The new windows platform update has recently been released, which included a number of exciting new features and improvements. These will be highlighted in this blogpost.
Version 162 contains numerous news in the invoicing module. These will be presented according to role, as they affect the roles differently.
It is now possible for the administration to filter the invoicing proposals that they would like to view. The list can be filtered to show all invoice proposals created by the entire practice or only show the ones that the administration has created or passed onwards for approval. The list will, as a default, show the last chosen filter. The other roles that have access to invoice proposals, will only be able to see the list filtered to show the invoice proposals that they created or sent onwards for approval.
Access to the invoice archive can now be allocated to the project leaders. As such, the project leaders can now be in charge of the entire invoicing process, including creation of potential creditnotes, and coping of an already raised invoice. The invoice archive will only contain the invoices that the project leader has created.
It is also possible to allocate invoicing access to department leaders now. Just as project leaders, the department leaders can also be configured to carry out the entire invoicing process. Department leaders can create invoice proposals and send invoices, for the projects on which they are department leaders. This access is allocated a department leader in Basis > Company > Employees > choose employee > [Con. of employement]
Invoice proposal: warning regarding the invoice horizon
When opening invoice proposals, a warning will appear if an invoicing horizon has been set. Just as before, the warning will remain in red writing, next to the chosen horizon period. The chosen invoicing horizon will also continuouslybe saved as default. The news is that a warning will appear as a reminder when the module is opened.
New capacity view
The planning module has a new capacity view. This is available in the planning module’s right-click menu. When you right-click on a chosen project, work package or activity, you can choose [Show capacity] and view all employees that have been allocated on that exact project, work package or activity. The type of view is identical to the one in Capacity, which lets you see and analyze all employee across the entire practice. See the images below.
Detailed information about expenditure
When ‘Past’ columns are active in the planning module, a summary of an employees spent hours can be viewed, with the attached note. The summary can be read by hovering your mouse above the spent hours of a project.
Save a preferred filter
It is possible to save a preferred filter as the default view in the planning module. When you have chosen the desired filter in the drop-down menu, you can choose [Save filter] in the top menu. The planning module will save the filter as the default view and open the planning module with the same filter next time. You can reset the filter by choosing the same [Save filter] in the top menu, and choosing [Reset].
WORK IN PROGRESS
New column: expected gain/loss of currency difference
Administration > WIP > ‘Work in progress’ has a new column, which shows the expected gain/loss of the currency rate, for the current own work in progress. The column is only visible if you work with contracts in a foreign currency. If a contract is in a foreign currency, there will always be a currency risk. This new column specifies what the gain/loss would be for the own work in progress, if the invoice is sent at the given time. Currency gain/loss is calculated on the basis of the registered currency rate at the contract start, comparatively to the current currency rate registered in AutoPilot.
A new possibility to clarify if a contact is either Private or Business is now available in Basis. This mark-up allows for anonymisation of receipient information on invoices sent to Private clients. The anonymisation is carried out when viewing the invoice in the invoice archive. This feature is available when:
The receipient has been clarified as a “Private” client
